Information we collect

We may collect your name, email address, account credentials, email-verification status, Shopify order and payment information, purchase and plan information, trial commencement and expiry records, entitlement and access status, refund, dispute and payment-reversal records, and support requests and communications.

If you use the referral program, we may store an opaque referral code, referral attribution and expiry, referral qualification status, the linked purchase, validation and reward records, and administrative review information. We also store your optional marketing preference, consent and unsubscribe timestamps and sources, policy and wording versions, email suppression status, and safe referral-email delivery results. We do not store signed unsubscribe links or full promotional email bodies in these records.

We also process planner content you choose to enter, such as lesson plans, timetable and term-planning content, assessment information, class information, to-do items, calendar and organisational data. Technical information may include IP address, browser and device information, login dates, account activity, session identifiers, error logs, security logs and diagnostic information.

Online Teacher Planner does not directly store full payment-card details. Shopify and its payment providers handle payment processing.

Student and school information

Teachers may choose to enter information about classes, lessons, assessments, students and school activities. You are responsible for having authority to enter that information and for complying with your school’s policies, employer requirements, professional obligations and applicable privacy laws.

Avoid entering unnecessary sensitive information. Where practical, use initials, internal student identifiers or de-identified information instead of full student names. Online Teacher Planner must not be used as the primary or official storage location for medical, child-protection, safeguarding, emergency, serious wellbeing or other highly sensitive official school records.

How we use information

• Create and manage accounts and verify email addresses.
• Activate free trials and match Shopify purchases to accounts.
• Attribute and validate referrals, calculate repeatable referral rewards, append referral entitlements, and review possible promotion misuse.
• Record and enforce optional marketing consent, unsubscribe requests, suppression and promotional email delivery.
• Grant, extend, suspend, restore or revoke access, including after refunds or payment disputes.
• Provide support, operate and improve the service, maintain security, prevent fraud and diagnose technical problems.
• Meet legal, accounting and other compliance obligations, and communicate important service information.

Marketing preferences

Marketing email is optional. We do not infer consent from account creation, a trial, Terms or Privacy acceptance, a purchase, a referral visit or receipt of an essential service email. You can change the preference while signed in or use the signed unsubscribe link in a promotional email. We continue to send essential account, verification, password reset, security, purchase, billing, refund and access-expiry messages where appropriate.

Service providers and overseas processing

We use reputable service providers where reasonably necessary. These may include Render for hosting and infrastructure, Shopify for checkout, payments and order information, email delivery providers, and security, diagnostic, analytics or customer-support providers where used. Shopify handles information under its own policies.

Some providers may process or store information outside Australia, including in the United States or other countries where their infrastructure operates. We take reasonable steps to use reputable providers and limit information to what is reasonably necessary.

Cookies, sessions and security

We use cookies, session identifiers and similar technologies for login sessions, account security, user preferences, core application functionality, performance and diagnostics. We use reasonable technical and organisational safeguards, including authentication, access controls, secure connections, restricted administrative access, logging, monitoring, backups and security updates. No system can be completely secure.

We investigate suspected data-security incidents, take reasonable containment steps and notify affected individuals or regulators where required by applicable law.

Retention and account deletion

We retain information only for as long as reasonably required to provide the service, manage accounts, maintain security, prevent fraud, provide support, comply with legal, tax and accounting obligations, and resolve disputes.

You can delete your account from Settings. This deletes the account and active planner content associated with it. Some information may temporarily remain in secure backups. Purchase, refund, audit, fraud-prevention, security and accounting records may be retained where reasonably required; Shopify may separately retain order and payment records under its own policies and obligations.

Access, correction and complaints

You may request access to or correction of your personal information, request account deletion, or ask for help with a privacy concern. Contact us with your name, account email, a description of the issue and relevant supporting information. We aim to acknowledge and investigate privacy complaints within a reasonable timeframe, generally aiming to respond within 30 days.

Online Teacher Planner aims to handle personal information consistently with recognised Australian privacy principles and good privacy practice, whether or not a particular provision of the Privacy Act 1988 applies to the business.
